A company team page only works when the photos look like they belong together. Mismatched headshots — different backgrounds, different crops, some from a phone, some five years old — quietly undermine an otherwise polished brand. This guide covers how to get consistent company and team headshots in Toronto, whether you're photographing eight people or two hundred.
Why consistency matters more than any single photo
Individually, most headshots are fine. The problem is always the grid. When your About or Team page shows twenty faces at once, the eye immediately catches inconsistency — one person lit warm, another cool; one tight crop, one wide; three different backdrops. Consistency signals organisation and care, which is exactly the impression a team page exists to create.
The way you get consistency is by shooting everyone against the same setup: same lighting, same backdrop, same crop, same retouching style. That's far easier to guarantee in one session than by asking people to book individually wherever they like — which is how most mismatched team pages happen in the first place.
On-site vs. studio for teams
For any team of roughly five or more, on-site wins. We bring a full portable studio — lights, backdrop, tethered laptop — to your office, and your team cycles through one at a time. Nobody loses a half-day travelling to a studio, and everyone is photographed under identical conditions.
- On-site: best for 5+ people; ~15–20 min per person; no travel time lost for staff
- Studio: best for one or two people, or remote staff who missed the office day
See corporate & business headshots for how an on-site session runs start to finish.
Planning a company headshot day
The single biggest factor in a smooth shoot is scheduling. At ~20 minutes per person, a team of 20 fills about seven hours including setup. We send a simple sign-up template so staff claim their own 20-minute slot and appear only when it's their turn — no one waits around, and no manager has to chase people.
We cover the full planning process — room requirements, scheduling, wardrobe guidance for staff — in our dedicated guide: planning a company-wide headshot day.
What we need from you
- Space: a meeting room roughly 3×4 metres, or a wide lobby or corridor. Natural light isn't required — we bring our own.
- Power: one standard outlet within reach of the setup.
- A schedule: your team's names filled into the 20-minute-slot template we provide.
- A point of contact on the day to help keep the flow moving.
That's genuinely all. We handle backdrop, lighting, camera, tethering, and directing each person.
Choosing a backdrop and style for your brand
Most companies choose between a clean light-grey/white look and a modern dark (charcoal to near-black) look. Light backdrops read classic and corporate; dark backdrops read contemporary and tend to make a diverse team — varied skin tones, hair colours, and clothing — pop consistently. We'll match the formality of the styling to your brand, from full-suit-and-tie to relaxed smart-casual, and keep it identical across everyone so the finished grid is cohesive.
Tip: pick one backdrop and one styling level for the whole team. Mixing "some formal, some casual" is the fastest way to a team page that looks inconsistent even when every individual photo is good.
Keeping new hires matched to the team
Teams grow, and the fastest way to break a consistent team page is a new hire's mismatched photo. We keep session notes and exact light settings on file, so when you hire, new staff book an individual session and receive images that match your existing page. That continuity is one of the main reasons companies book with the same photographer repeatedly.
Turnaround and delivery
Retouched images are delivered within 24 hours for most team sizes (48 hours for very large groups), via a shared Google Drive link organised by person. You receive both web-optimised versions for your site and full-resolution files for print, so marketing and HR can use them everywhere without asking for re-exports.
Group and team pricing
Team headshots are priced per person, and the rate drops as the group grows:
- 4–9 people: $175 per person
- 10–19 people: $150 per person
- 20+ people: $125 per person
Every rate includes on-site setup, ~20 minutes per person, one retouched image each, and delivery within 24 hours. See full pricing → or email your headcount for a quote.
Frequently asked questions
How many people can you photograph in one day?
At about 20 minutes per person, one photographer comfortably handles 20 to 25 people in a day including setup. For larger companies we add a second setup to double throughput, or split the shoot across two days.
How much space do you need on-site?
A meeting room of roughly 3×4 metres is ideal, but we've worked in lobbies, corridors, and against plain walls. We only need the space and one power outlet — we bring the backdrop and lighting.
What if someone is off sick or works remotely?
They can book an individual session at our Regent Park studio later. We keep your team's lighting and backdrop settings on file so their photo matches the rest of the group.
How quickly do we get the photos?
Retouched images are delivered within 24 hours for most team sizes, and within 48 hours for very large groups, via a shared link organised by person with both web and print-resolution files.
How much do company team headshots cost in Toronto?
Team headshots are priced per person: $175 for 4–9 people, $150 for 10–19, and $125 for 20 or more. Each includes on-site setup, one retouched image per person, and 24-hour delivery.
