A headshot station has quietly become one of the most popular add-ons at conferences, member events, and company off-sites in Toronto. It gives every attendee a genuinely useful takeaway — a professional headshot — while keeping a line moving quickly. Here's how an on-site conference headshot booth works and what to plan for.

What a conference headshot station is

It's a compact professional studio set up inside your venue: a backdrop, lighting, a camera tethered to a laptop, and a photographer directing quick sessions. Attendees step in, get two or three minutes of real direction, see their shot on screen, and receive the finished image by email — usually next day, sometimes on the spot.

Why organisers and sponsors add one

  • Attendee value: a professional headshot is something people actually want and will use for years
  • Traffic: a headshot booth reliably draws and holds a line, which is why it's a favourite sponsor activation
  • Branding: the backdrop can carry event or sponsor branding, and delivery emails can be co-branded
  • Consistency: for association or membership events, everyone leaves with a headshot in the same style

Sponsor angle: if you're a vendor looking for a booth idea that outperforms swag, a headshot station puts your brand on an image attendees keep on LinkedIn indefinitely.

How it works on the day

We arrive early, set up in about 45 minutes, and run continuously through your event window. Each attendee gets a short, directed session — long enough to get a real expression, short enough to keep the line moving. Images are culled and retouched after the event and delivered via a simple link, typically within 24 hours. Same-day delivery is possible for smaller volumes — see same-day headshots.

Throughput and logistics

Plan on roughly 15–25 people per hour per photographer, depending on how much direction each person needs and whether they review shots on the spot. For larger events we add a second station to double capacity. We need a space of about 3×4 metres, a power outlet, and ideally a spot with some separation from the loudest part of the room.

Getting a quote

Event headshot stations are quoted by hours and expected volume rather than per person. Email us your event date, venue, expected headcount, and the hours you'd like the booth open, and we'll send a quote. Planning an internal office shoot instead? See corporate & team headshots.
